Summary
We are Vet Vision AI Limited (company no. 15132981), a University of Nottingham spin-out. This page explains what information we collect when you visit vetvisionai.com, why, and how to control it. We do not sell your personal data.
Contact enquiries
When you use our contact form, we collect your name, email address, optional phone number, area of interest, message, and enquiry source. We use this information to route and respond to your enquiry and to manage any follow-up you request.
We use Microsoft Azure Communication Services as our email delivery provider to send the enquiry details to designated Vet Vision AI inboxes and to send an acknowledgement to the email address you provide. Contact submissions are not stored in the website’s public content system. We process this information to take steps at your request and for our legitimate interest in answering and managing genuine business enquiries.
We keep enquiry records only for as long as needed to answer the request, manage any resulting relationship, and meet applicable legal or accountability requirements. The nature of the enquiry and whether it leads to an ongoing relationship determine the retention period.
Analytics
We use two analytics tools to understand how visitors use our site. PostHog and optional Google Analytics storage follow the Analytics choice in our cookie preferences. Limited cookieless Google measurement continues when that choice is off.
PostHog
Product analytics hosted in the EU. PostHog starts only when you enable Analytics and captures page views, interactions, heatmaps, website performance measurements, and masked session replays. A replay reproduces the public page layout, pointer movement, scrolling, and interactions so we can find usability problems. Input values are masked, the contact form is excluded from recordings, and we disable console-log, network-header, network-body, canvas, and cross-origin iframe capture. Public page text may remain visible in a replay. Recorded URLs have query strings and fragments removed. Every event disables location enrichment, and the PostHog project is configured to anonymise and discard the request IP rather than store it as an event property.
PostHog is served through our own domain and configured to remove email addresses and UK phone numbers from general analytics events. Contact-form and booking conversions include only controlled context such as the enquiry source or CTA location, not the details you submit. We use the recordings and aggregated analytics only to understand and improve this website.
Google Analytics 4
On our production website, Google’s tag uses Advanced Consent Mode. Analytics storage, advertising storage, advertising user data, and advertising personalisation are denied by default. When Analytics is off or you have not yet made a choice, GA4 cannot read or write its analytics cookies. It can still receive limited cookieless requests for aggregate traffic, event measurement, and modelling.
A cookieless request may include technical data such as the time, browser or device information, screen resolution, consent state, referring domain, page path, and controlled event context. An IP address is necessarily present while the request travels over the internet; Google states that GA4 does not log or store IP addresses. We remove query strings and fragments from page URLs, reduce external referrers to their domain, and never send contact-form values, names, email addresses, phone numbers, or a user ID to GA4.
If you enable Analytics, analytics storage is granted and standard GA4 cookies may be set. Advertising storage, advertising user data, and advertising personalisation stay denied. Google Signals and ads personalisation are disabled, ads data redaction is enabled, and URL passthrough is disabled.
Cookies & local storage
The necessary preference record remembers your choices. Analytics cookies and PostHog storage are permitted only when you enable Analytics. Limited GA4 requests can be sent without analytics cookies. The providers may change individual cookie names over time; representative cookies are listed below.

Use Cookie preferences in the footer to review or change your choices at any time. Withdrawing consent removes the analytics cookies and browser identifiers set by these integrations, stops PostHog, and returns GA4 to limited cookieless measurement.
Google Maps
Our contact page includes an embedded Google map. When the map loads, Google may receive technical information such as your IP address, browser or device details, and the page you visited. Google handles that information under its own privacy terms. You can avoid the interactive map and use the written address or the separate directions link instead.
Your rights
Under UK GDPR you have the right to access, correct, or delete the personal data we hold about you, to restrict or object to processing, and to data portability. You can also complain to the Information Commissioner’s Office (ico.org.uk).
