Summary

We are Vet Vision AI Limited (company no. 15132981), a University of Nottingham spin-out. This page explains what information we collect when you visit vetvisionai.com, why, and how to control it. We do not sell your personal data.

Contact enquiries

When you use our contact form, we collect your name, email address, optional phone number, area of interest, message, and enquiry source. We use this information to route and respond to your enquiry and to manage any follow-up you request.

We use Microsoft Azure Communication Services as our email delivery provider to send the enquiry details to designated Vet Vision AI inboxes and to send an acknowledgement to the email address you provide. Contact submissions are not stored in the website’s public content system. We process this information to take steps at your request and for our legitimate interest in answering and managing genuine business enquiries.

We keep enquiry records only for as long as needed to answer the request, manage any resulting relationship, and meet applicable legal or accountability requirements. The nature of the enquiry and whether it leads to an ongoing relationship determine the retention period.

Analytics

We use two analytics tools to understand how visitors use our site. They follow the Analytics choice in our cookie preferences.

PostHog

Product analytics hosted in the EU. PostHog starts only when you enable Analytics and captures page views, interactions, heatmaps, website performance measurements, and masked session replays. A replay reproduces the public page layout, pointer movement, scrolling, and interactions so we can find usability problems. Input values are masked, the contact form is excluded from recordings, and we disable console-log, network-header, network-body, canvas, and cross-origin iframe capture. Public page text may remain visible in a replay. Recorded URLs have query strings and fragments removed. PostHog may also derive an approximate country or region from the request IP address.

PostHog is served through our own domain and configured to remove email addresses and UK phone numbers from general analytics events. Contact-form conversions include only the enquiry source, not the details you submit. We use the recordings and aggregated analytics only to understand and improve this website.

Google Analytics 4

Traffic analytics loaded directly with Google’s tag. The tag starts only when you enable Analytics, at which point standard GA4 cookies may be set. Advertising storage and personalisation remain disabled, and we do not send contact-form details to GA4.

Cookies & local storage

The necessary preference record remembers your choices. Analytics cookies are permitted only when you enable Analytics. The providers may change individual cookie names over time; representative cookies are listed below.

Use Cookie preferences in the footer to review or change your choices at any time. Withdrawing consent removes the analytics cookies and browser identifiers set by these integrations and prevents subsequent optional tracking.

Google Maps

Our contact page includes an embedded Google map. When the map loads, Google may receive technical information such as your IP address, browser or device details, and the page you visited. Google handles that information under its own privacy terms. You can avoid the interactive map and use the written address or the separate directions link instead.

Your rights

Under UK GDPR you have the right to access, correct, or delete the personal data we hold about you, to restrict or object to processing, and to data portability. You can also complain to the Information Commissioner’s Office (ico.org.uk).
